Background

Sous la supervision directe du Project Lead, l’officier Administrateur (trice) –Logisticien aidera le bureau iMMAP Goma à s’acquitter des tâches administratives-logistiques et légales quotidiennes, y compris la gestion générale du bureau.

Description of Duties

Administration:

  • Support in secretary duties and Collect meeting minutes between iMMAP and partners.
  • Follow up of the registration process
  • Management of travel arrangement for iMMAP employees.
  • Draft administrative document for validation by PL (MOU, letter of invitation…)
  • Any other clerical task as expected by supervisor etc.
  • Act as liaison with potential partners and authorities

Logistic

  • Follow up of the procurement plan
  • Direct Purchase of the necessary equipment for the adequate functioning of the office when possible and necessary
  • Coordinate with iMMAP hosting partner for procurement issue when necessary
  • Elaboration and Follow up of the procurement files according to procedure
  • Management office supplies/equipment’s
  • Asset follow up according to immap logistic procedures.
  • Any other logistic tasks as expected by supervisor etc.

Program support

  • Organise calendar and provide reminders on vital collaborative meeting between iMMAP and sectors/agencies/working groups.
  • Elaborate meeting minutes when necessary
  • The Admin/Log officer will be directly supervised by the project lead

Requirements

  • Education
  • Diplôme Universitaire en gestion, ou en logistique ou dans un domaine connexe ;
  • Experience
  • Expérience deux années dans la passation de marché et/ou de la logistique dans une organisation internationale ;
  • Soft skills
  • Connaissance pratique des procédures logistiques et pratiques de passation de marché est un atout ;
  • Bonnes capacités organisationnelles et de planification;
  • Capacité à entretenir des relations professionnelles efficaces à tous les niveaux ;
  • Grandes capacités d’organisation, de négociation et de travail en équipe ;
  • Excellente maîtrise verbale et écrite du français exigée, y compris du vocabulaire des affaires ; maîtrise de l’anglais souhaitable ;
  • Niveau prouvé dintégrité et de bonne réputation dans le processus dachat des biens et des services avec les vendeurs ;
  • Communication efficace ;
  • Capacité de résolution de problèmes ;
  • Approche orientée vers le résultat.
  • Programmes
  • **Bonnes connaissance de l’outil informatique exigée (Excel, Word, power point,…)
